Who we are and what this policy covers

Indian Footage Media Pvt. Ltd. ("IF Media", "we", "us") is the data fiduciary responsible for the personal information described in this policy. This policy explains what we collect, why we collect it, how long we keep it and the choices you have.

It covers our website, artist and label dashboards, release delivery processes, marketing communications and any enquiry or claim you submit to us. It does not cover the privacy practices of streaming platforms, social platforms, payment providers or other third parties, which are governed by their own policies.

02

Information you give us

  • Account and profile data such as name, artist or label name, email address, phone number, country, password and profile image.
  • Commercial and payout data such as billing address, PAN or tax identifier, GST details, bank account or payment instrument details and payout history.
  • Catalogue data including sound recordings, artwork, lyrics, contributor credits, ISRC and UPC codes, split sheets and supporting rights documents.
  • Communications including briefs submitted through our contact form, support tickets, copyright or fraud reports and any attachments.

Some fields are required to deliver a release or pay royalties. If you do not provide them, we may be unable to provide the relevant part of the service.

03

Information we collect automatically

  • Technical data such as IP address, browser type and version, device type, operating system and language.
  • Usage data such as pages viewed, features used, referring URLs and session timestamps.
  • Security data such as login attempts, approximate location derived from IP and device signals used to detect abuse.
  • Cookie and similar identifiers, described in section 06 and in our Cookies Policy.
04

Information we receive from others

We receive royalty and usage reporting from Stores and collecting societies, transaction confirmations and risk signals from payment processors, identity and sanctions screening results from verification providers, and analytics or advertising data from platforms where you have consented to their use.

If someone submits a copyright or fraud report about your release, we receive the details of that report, which may include the reporter's identity and contact information.

05

Why we use your information

  • To create and administer your account and verify your identity.
  • To deliver, maintain and withdraw releases across Stores and register works with societies.
  • To calculate, collect, report and pay royalties, and to meet tax and accounting obligations.
  • To respond to enquiries, support requests, copyright claims and fraud reports.
  • To send service messages, statements, release updates and, where you have opted in, marketing email.
  • To detect, prevent and investigate fraud, artificial streaming and misuse of the platform.
  • To keep the platform secure, troubleshoot errors and improve features.
  • To comply with legal obligations and enforce our Terms of Services.

Where required, we rely on your consent, on the performance of our contract with you, on our legitimate interests in operating and protecting the service, or on a legal obligation.

06

Cookies and similar technologies

We use cookies, local storage and similar technologies to keep you signed in, remember preferences, secure forms and understand how the site is used. Analytics and marketing technologies are used only where permitted. Full detail on categories, retention and how to control them is set out in our Cookies Policy.

07

Sharing your information

We share only what is necessary, and never sell personal information. Recipients include:

  • Stores, distributors and societies, to deliver content and report or collect royalties.
  • Payment processors and banks, to take fees and pay royalties.
  • Hosting, email and analytics providers acting as processors under contract with us.
  • Professional advisers such as auditors, accountants and legal counsel.
  • Platforms and rights holders, where needed to resolve a copyright or fraud claim.
  • Authorities, courts or regulators, where required by law or to protect our rights.
  • A successor entity, in connection with a merger, acquisition or sale of assets.

Where a copyright or fraud report is submitted, a summary of the claim and the contact details provided may be shared with the account or uploader concerned, as required by platform processes.

08

International transfers

Stores, societies and service providers operate globally, so your information may be processed in countries other than India. Where information is transferred across borders we use contractual safeguards and require recipients to protect it to a standard consistent with this policy and applicable law.

09

How long we keep information

Account and catalogue records are kept while your account is active. After closure we retain royalty, tax, accounting and rights records for the period required by law and for as long as needed to resolve disputes, defend claims and honour Store and society reporting cycles, typically eight years.

Enquiries and claims are kept for up to three years after resolution. Marketing subscriptions are kept until you unsubscribe. Security logs are kept for up to twelve months unless needed for an investigation.

10

How we protect your information

We use encrypted connections, access controls, least-privilege internal permissions and logging to protect your data, and we restrict access to personnel and processors who need it to perform their tasks. We regularly review our providers and response procedures.

No system is completely secure. Choose a strong, unique password, keep it private, and tell us immediately if you suspect unauthorised access to your account.

11

Your rights

Subject to applicable law, you may ask us to:

  • Confirm what personal information we hold about you and provide a copy.
  • Correct inaccurate or incomplete information.
  • Erase information that is no longer needed for the purpose it was collected.
  • Restrict or object to certain processing, including direct marketing.
  • Provide your data in a portable format where technically feasible.
  • Withdraw consent you have previously given.

Send requests from the email address registered on your account to info@ifmedia.in. We may need to verify your identity and will respond within the period required by law. We may retain information needed to meet legal, tax or rights obligations even after a deletion request, and will explain what is retained when we respond.

12

Marketing communications

We send service messages such as statements, release confirmations and security alerts as part of the service. Marketing email, such as newsletters and product announcements, is sent only where you have opted in and can be stopped at any time using the unsubscribe link in the message.
